At Beautiful Minds® we are committed to protecting your privacy and the privacy of your children. We understand that as a family-focused organisation, the trust you place in us with your personal information — and especially information about your children — is something we take seriously. beautifulminds.co is owned by Beautiful Ventures Pte. Ltd., registered in Singapore (UEN 202624074E), which sells globally. This Privacy Policy applies to website visitors and customers worldwide. It explains how Beautiful Ventures Pte. Ltd. and Beautiful Minds Australia Pty Ltd (ABN 43 634 070 330) collect, use, store and disclose personal information in connection with their respective activities. References to “Beautiful Minds”, “we”, “us” and “our” mean the relevant business handling your information. Applicable privacy laws may include the Australian Privacy Act 1988 (Cth) and Australian Privacy Principles, Singapore’s Personal Data Protection Act 2012, and other laws relevant to your location and our processing. The entity identified in your booking or service agreement is responsible for that service.

This policy explains our practices; browsing the website is not consent to optional tracking or to every use of personal information. Where consent is required, we seek it for the relevant purpose. Our Cookie Policy, Cookie Settings and Online Safety pages provide further detail.

About you (parent or guardian): We may collect your name, email address, telephone number, postal address, geographic location, IP address, payment information, survey responses, support queries, and social media handles.

About your children: Where you register your child for one of our events, camps, retreats or programs, we may collect your child’s name, age or date of birth, and relevant medical or health information (such as allergies, medications or conditions that may affect their participation). We may also photograph and film children during our events for the purposes described in Section 3 below.

Parents or guardians should provide children’s registration and health information. Children may also interact with our website, online sessions or safety-reporting channels. Optional website services require consent through our controls; under-16s should ask a parent or guardian to help. If you believe information about your child was collected without appropriate permission, contact care@beautifulminds.com.au so we can investigate, stop inappropriate processing and delete information where appropriate and legally permitted.

We use the personal information we collect to deliver our products and services to you and your family, including processing event registrations and payments, communicating with you about your bookings and purchases, providing customer support, sending you updates about our programs and offerings (where you have opted in), and ensuring the safety and wellbeing of children in our care.

We use children’s health and medical information solely to ensure their safe participation in our programs. This information is not used for marketing purposes and is only shared with our facilitators, youth leaders and relevant staff on a need-to-know basis.

We use non-personally identifiable information in aggregated and anonymised forms to improve our services, administer our website, and produce analytics.

Marketing communications are only sent to you if you have subscribed to them. You may opt out at any time by clicking the unsubscribe link in any email or by contacting us at care@beautifulminds.com.au.

Beautiful Minds photographs and films our events for the purposes of promoting our programs and services. By registering for an event, you consent on behalf of yourself and your child to being photographed or filmed by Beautiful Minds or its representatives, and to those images being used in our marketing materials, website, and social media channels. No remuneration is payable for such use.

If you do not wish your child to be photographed or filmed, please notify us in writing at care@beautifulminds.com.au prior to the event and we will take reasonable steps to ensure your child is not included in any promotional material.

We store your personal information on secure servers and take reasonable technical and organisational measures to protect it from unauthorised access, disclosure, alteration or destruction. Payment information is encrypted in transit and we do not store credit card details on our servers.

Our general business-record retention period is 7 years from collection, or as otherwise required by law. Website cookies, consent records, analytics and session replay have separate retention arrangements described in our Cookie Policy; the cookie consent manager is configured to delete documented consents after 24 months. We do not retain information longer than needed for its purpose or applicable legal requirements, and securely delete or de-identify it when no longer required.

Children’s health and medical information is retained only for the duration of the relevant program or event, plus a reasonable period thereafter, and is then securely deleted.

To deliver our services, we share certain personal information with trusted third-party providers. We only share what is necessary and require all providers to protect your information in accordance with applicable privacy law. Our current service providers include:

  • Stripe — payment processing (United States)
  • Facebook (Meta) — advertising and analytics via pixel technology (United States)
  • Google Analytics — optional website analytics (United States)
  • Amplitude — optional analytics and separately controlled session replay (United States)
  • Ahrefs — optional aggregate website analytics (Singapore)
  • YouTube (Google) — optional embedded videos and associated provider processing
  • Testimonial.to — optional embedded customer stories
  • Kinsta — website hosting and delivery; Real Cookie Banner records privacy preferences on our website’s hosting system
  • Adobe Fonts and Google Fonts — delivery of website fonts, which involves technical connection information

Our businesses operate in Australia and Singapore, and providers may process information in those countries, the United States and other locations in which they operate. Overseas privacy laws may differ. Where required, we take steps to meet Australian overseas-disclosure obligations and Singapore’s transfer-limitation requirements, including ensuring an appropriate comparable standard of protection. Optional consent does not waive those obligations.

We do not sell or trade your personal information to any third party.

Our website uses essential technology to deliver the site and remember your preferences. Optional analytics, advertising, embedded customer stories and session replay require your consent through Real Cookie Banner. You can Reject optional, allow selected services or withdraw optional consent at any time in Cookie Settings.

These tools may process IP addresses, browser and device details, online identifiers, visited page addresses, campaign sources and interactions. Meta may associate advertising events with a Meta account. Amplitude Session Replay can reconstruct page layout, clicks, scrolling and navigation; it requires its own consent as well as consent to Amplitude Analytics. Our local replay configuration requests conservative masking, blocks forms and editable fields, uses in-memory buffering and requests a 10% sample of eligible sessions. Provider-side settings may also apply.

The consent manager stores your choice, a consent identifier, time, the notice shown and limited technical information about the consent interaction on our hosting system. Full IP-address storage is disabled in this manager. Consent cookies normally last up to 365 days, and documented consent records are scheduled for deletion after 24 months.

Read the Cookie Policy for providers, storage lifetimes, international processing and browser controls. Withdrawal stops future use on this browser; it does not automatically erase information already received by a provider. Contact us about access, correction or deletion requests under applicable law.

You have the right to access the personal information we hold about you and to request corrections if it is inaccurate, incomplete or out of date. To make a request, please contact us at care@beautifulminds.com.au. We will respond within 30 days.

In some circumstances we may be unable to provide access to certain information, for example where doing so would reveal personal information about another individual or where we are legally required to retain it.

Our website may contain links to third-party websites. This Privacy Policy applies only to information collected by our website. We are not responsible for the privacy practices of third-party sites and encourage you to review their privacy policies before providing any personal information.

We may update this Privacy Policy from time to time to reflect changes in our business or legal obligations. The current version will always be published on our website with the date it was last updated. We encourage you to review it periodically.
